Job Description:

Our client, a logistics organization located in Schaumburg, is looking for a temporary-to-hire Office Administrator. This position will provide daily support to the Regional Head while also assisting the HR Manager, Logistics Department, and other employees as needed.

  • Process Expense Reports for the Regional Head
  • Administrative and support to Regional Head & HR
  • Reserve facilities & equipment for meetings both inside and outside of our offices
  • Assist with preparations for various meetings/ working lunches/ training sessions
  • Plan and coordinate employee outings (appreciation breakfasts, summer picnic, holiday party, retirement parties, secondee farewells, etc.)
  • Arrange hotel and ground transportation for guests visiting the Region as neededOffice ManagementResponsibility for staying within the office administration budget. Manage the daily needs of the office.
    • Maintain the Schaumburg and off-site storage account and assist sending and recalling boxes when needed
    • Order office & kitchen supplies
    • Process the USPS mail for the office
    • Maintain the FedEx shipping account and supply orders
    • Concur/ Options Travel - point of contact
    • Maintain corporate credit card (Bank of America) for office purchases and provide receipts for the Finance team
    • Building Liaison; enter work orders for repairs and general maintenance through an online system
    • Maintain phone lists, name plates, floor plans, employee vehicle listing, etc.Health & Safety
      • Maintain and improve the office environment for safety
      • Attend yearly safety meetings hosted by the building management companyCorporate SustainabilityAssist with the coordination and execution of various charitable activities throughout the year.

            • 3+ years previous administrative experience
            • Associate degree acceptable; Bachelor's preferred
